Anti-Corruption Policy
TRAC’s internal controls and operating procedures are intended to detect, prevent and/or deter improper and corrupt activities. However, even the best systems of control cannot provide absolute safeguards against irregularities. The company has the responsibility to investigate all allegations in order to protect the company from financial and material losses. We rely on our employees to assist us on this matter and encourage and enable employees and subcontractors to report improper and corrupt activities that are causing severe damage to the financial position and image of the company.
The objective of this policy is to encourage and enable employees and subcontractors to report improper and corrupt activities that are doing serious harm to the financial position and image of the company.
Employees and others are encouraged to report all allegations regarding improper and corrupt conduct. Serious allegations will be reported to the appropriate law enforcement authorities. Any allegations may result in disciplinary actions being taken against any staff member. TRAC management retains the prerogative to determine when circumstances warrant an investigation in conformity with the company’s anti-corruption and human resource policies and applicable laws and regulations.
TRAC Fraud Hotline – whistle blower number
Should you suspect corrupt or inappropriate actions from any of TRAC employees or subcontractors, a report can be made via the fraud hotline: +27 (0) 82 900 2447. The call will not be answered, but leave a detailed message for TRAC’s responsible officer who will listen to all messages at least once a week.
Callers must provide as much correct and factual information as possible. Generalisations are difficult to follow up. Whistle blowers should be prepared to be interviewed during the investigation, if required.
Reward
TRAC’s management may decide to reward the person who first reported an improper and/or corrupt activity, which was causing the company severe financial damage or damage to the image of the company, up to R10000. This reward will be determined at the discretion of TRAC management and no communication or dispute will be allowed in this regard. In order to qualify for the incentive, the caller must be identifiable and provide comprehensive information.
TRAC strictly prohibits retaliation, harassment, or discrimination against any person who made a report in good faith and with a reasonably held belief.
